Getting started with a new Data Risk Management Health Check

Click New Health Check

Starting a new Data Risk Management Health Check is very easy.

Either click the New Health Check menu item or the New Health Check button on the Data Risk Management Health Check – Audit History page and you will be up and running straight away!

Add Health Check Information

Name the Data Risk Management Health Check, select the template type, which will load the relevant data privacy, data retention, data risk and cyber security compliance template, set a default owner for items (issues, actions and risks) and select the industry sector.

Next provide the details of the person performing the Data Risk Management Health Check including their name, company name, position/title, and contact details, as well as, the period for which the Data Risk Management Health Check applies, then hit the Next button.

Additional Information

This screen allows users to provide further context behind the Data Risk Management Health Check for example:

  • General comments – for example a description of the process for maintaining / re-performing the Health Check
  • Business information – nature, size and complexity of business (e.g. products, jurisdictions, number of employees, specific laws etc.)
  • Products and service information – key lines of business considered during the Health Check (these can also be uploaded)
  • Next Data Risk Management Health Check review date – the date when the Data Risk Management Health Check will be repeated (e.g. annually or more frequently).

The content of this screen end up in the final Data Risk Management Health Check Report, but is optional and can be skipped, taking the user to the Audit Checklist screen.

Select Audit Checklist

When commencing new Data Risk Management Health Checks, the reviewer can choose either the default audit checklist or they can pre-select from a previously created audit checklist or they can start one from scratch.

The audit checklist forms a key part of the document discovery page and is typically defined at the outset as part of the initial configuration activities.

Edit and Reorder Audit Checklist

The audit checklist page can be re-ordered and saved at any point in time using the edit button.

Additional audit checklist categories, sub-categories and document descriptions can easily be added in minutes.

Invite others to upload

The audit checklist can be shared with others including existing and new users, by clicking the person icon in the main audit history page.

This creates this pop-up window which allows the email address of the person that is to be granted access to be entered along with a customised message.

Once sent, the invited user will receive an email with a link directly to the audit checklist page only (unless they are already an existing user).

Upload Documents

Users simply select the Yes button next to the document and a green plus sign will appear which opens a browser window for the user to locate and upload the relevant document.

Once uploaded the document is stored as a link in the Data Risk Management Health Check Platform and is available as a discoverable audit document.

Comments can also be added against the audit checklist keeping a full audit trail of the document collection process.

Users can also filter the audit checklist by documents requested but not received and can set email notification reminders to inform them of when a requested document has been uploaded.

Users can also download a full summary of the audit history checklist at any point in time.
